1. What Information Do We Collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- names
- email addresses
- usernames or display names
- email and notification preferences
- authentication data
Account Credentials. Sign-in is handled by our authentication provider, Clerk. If you set a password, it is stored by Clerk, not by us. We never see or store your password.
Sensitive Information. We do not process sensitive information.
Payment Data. We never see or store your card details. If you make a purchase, your payment instrument number and security code are collected and stored solely by our merchant of record, Suby, a third-party payment provider that acts as seller of record. Suby is the name that appears on your card statement, and its privacy notice is shown on the checkout page. What reaches us is limited to what we need to run your account: a purchase reference, the plan or credit amount, and your subscription status.
Social Media Login Data. We may provide you with the option to register with us using your existing Google account. If you choose to register in this way, we will collect certain profile information about you from Google, as described in the section called "How Do We Handle Your Social Logins?" below.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information, such as your Internet Protocol (IP) address and/or browser and device characteristics, is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.

The information we collect includes:
- Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called "crash dumps"), and hardware settings).
- Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
- Location Data. We infer an approximate, imprecise location (such as your country or region) from your IP address for security and analytics purposes. We do not request or collect precise GPS location from your device, and the Services do not require any device location permission to function.
Information we collect from public sources
In Short: Beanie reads posts that people have published publicly in online communities. If you posted publicly and your post matched a customer's search, this section is about you, and you can ask us to remove it.
What we collect. When a customer runs a campaign, Beanie retrieves posts that are already published publicly and match that campaign's topic. For each matching post we store the post title, an extract of the post text, the community it was posted in, the public permalink, the time it was posted or collected, the public display name (handle) shown on the post, and a machine-generated relevance score with a short written explanation of that score.
Where it comes from. We obtain this content through a third-party commercial API provider that supplies access to public posts. Beanie does not operate a crawler or scraper of its own. We read only content that is publicly visible without an account, and we never access private messages, private communities, restricted content, or anything behind a login or privacy setting.
What we do not collect. We do not collect or attempt to find email addresses, phone numbers, postal addresses, real names, employers, or any other contact details for the people who wrote these posts. We do not enrich this content with data from any other source, we do not attempt to identify or match anyone across platforms, and we do not build behavioural or advertising profiles.
Why we process it. We rely on legitimate interests (Article 6(1)(f) GDPR) to help our customers find public discussions where their product may be relevant. We have weighed this against the interests and rights of the people who wrote the posts. The content is already public, we hold no contact details, the volume held about any one person is minimal, no automated decision with legal or similarly significant effect is made about anyone, and an unconditional removal route is provided below.
Who can see it. Only the individual customer whose campaign matched the post, inside their own account. It is never pooled across customers, never published, never sold, never licensed, and never offered as a list, database, or data product to anyone.
Sensitive content. We do not target, filter for, or infer special category data (such as health, religion, political opinion, or sexual orientation) from public posts, and campaigns are built around a customer's product and its use cases rather than around any attribute of a person. Because a public post can contain anything its author chose to write, we cannot guarantee that no such detail ever appears in a stored extract, and the removal route below applies without condition in that case.
How long we keep it. Matched posts are retained inside the customer's account until that customer deletes them or closes their account, or until we act on a removal request under this section.
How to have your public content removed. If you posted publicly and do not want your content processed by Beanie, email support@beanie-ai.co with the link to the post. You do not need an account with us, you do not need to give a reason, and you do not need to prove anything beyond that the post is yours. We will delete it from our systems and block it from being collected again. We aim to act within 30 days and usually much sooner. This applies equally to a request to object under Article 21 GDPR, to a request for access under Article 15, and to an erasure request under Article 17.
2. How Do We Process Your Information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process the personal information for the following purposes listed below. We may also process your information for other purposes only with your prior explicit consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
- To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
- To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
- To fulfill and manage your orders. We may process your information to fulfill and manage your orders, payments, returns, and exchanges made through the Services.

3. What Legal Bases Do We Rely On To Process Your Personal Information?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.

The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
- Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose. You can withdraw your consent at any time.
- Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
- Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
- Analyze how our Services are used so we can improve them to engage and retain users

- Understand how our users use our products and services so we can improve user experience

4. When And With Whom Do We Share Your Personal Information?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with our third parties, which are designed to help safeguard your personal information. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will also not share your personal information with any organization apart from us. They also commit to protect the data they hold on our behalf and to retain it for the period we instruct.

- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
5. Do We Use Cookies And Other Tracking Technologies?
In Short: We may use cookies and other tracking technologies to collect and store your information.
We use cookies and similar tracking technologies only where they are functionally necessary to gather information when you interact with our Services. These technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We do not use advertising cookies or serve targeted advertising. The only third parties who set cookies through our Services are Clerk (authentication) and our merchant of record (billing, at checkout), each strictly for the functional purpose of running your account and subscription. We do not permit third parties to use our Services for ad tracking, ad targeting, or cross-site advertising profiles.
Some US state privacy laws define certain data practices as a "sale" or "sharing" of personal information, which can include targeted advertising. Because we do not engage in targeted advertising, this does not apply to our practices, but if that ever changes, you would be able to opt out as described below under "Do United States Residents Have Specific Privacy Rights?"

6. Do We Offer Artificial Intelligence-Based Products?
In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.
As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, "AI Products"). These tools power Beanie's post relevance filtering, intent scoring, and reply drafting. The terms in this Privacy Notice govern your use of the AI Products within our Services.
Use of AI Technologies
We provide the AI Products through third-party service providers ("AI Service Providers"), including Groq. As outlined in this Privacy Notice, your input and output are shared with and processed by these AI Service Providers to enable your use of our AI Products. They process this data only to return a result to us and do not use it to train or improve their models, and we do not use your content to train any model of our own. You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.

All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreements with the AI Service Providers listed above.
7. How Do We Handle Your Social Logins?
In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
Our Services offer you the ability to register and log in using your Google account. Where you choose to do this, we will receive certain profile information about you from Google, typically including your name, email address, and profile picture.
We will use the information we receive only for the purposes that are described in this Privacy Notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by Google. We recommend that you review Google's privacy notice to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their site.
8. Is Your Information Transferred Internationally?
In Short: We may transfer, store, and process your information in countries other than your own.
Our servers are located in Germany. Your information may also be processed by the third-party providers listed under "When And With Whom Do We Share Your Personal Information?" above, some of which operate in the United States and other countries.
If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this Privacy Notice and applicable law.
European Commission's Standard Contractual Clauses:
We rely on the European Commission's Standard Contractual Clauses for transfers of personal information from the EEA or UK to our third-party providers. These clauses require the recipient to protect that personal information in accordance with European data protection law. A copy can be provided on request.
9. How Long Do We Keep Your Information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. 12. What Are Your Privacy Rights?
In Short: Depending on your state of residence in the US or in some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. If a decision that produces legal or similarly significant effects is made solely by automated means, we will inform you, explain the main factors, and offer a simple way to request human review. In certain circumstances, you may also have the right to object to the processing of your personal information. Withdrawing your consent
If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.

These rights do not depend on having an account with us. If you published a post publicly and it was matched by a customer's campaign, you can ask us to delete it and block it from future collection by emailing support@beanie-ai.co with the link to the post. No account, no reason, and no further proof is required. See "Information we collect from public sources" above.

13. Controls For Do-Not-Track Features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.
14. Do United States Residents Have Specific Privacy Rights?
